Who we are
Dental Match operates under ABN 85 702 836 780.
Dental Match operates a patient enquiry and lead generation service for participating dental clinics. We find and qualify enquiries, discuss a suitable clinic with you and help arrange a consultation. We are not a dental clinic and do not provide clinical or financial advice. Our service is free for patients; clinics set consultation and treatment fees.
For privacy questions, requests or complaints, contact Dental Match at .
What we collect
When you submit an enquiry, we collect the contact details you provide, your postcode, treatment interests, travel and timing preferences, contact preferences and any optional concerns. A question form also collects your message. Treatment interests and concerns may reveal health information; we ask for your consent to handle them.
We may collect further information directly from you when discussing your enquiry and booking preferences. Please do not send medical records, identity documents, Medicare numbers, superannuation account details or myGov credentials through these forms. You can enquire without selecting optional concerns.
The website and security providers may process technical information such as IP addresses, browser information and security-verification results. We do not save your name, contact details or question in browser storage. A homepage treatment choice is stored briefly in session storage, cleared when the enquiry form reads it, and expires after five minutes. A confirmation indicator stores only the enquiry type and time, is read once and expires after 30 minutes. Your cookie preference is stored locally when you make a choice.
How we use it
We use enquiry information to respond, clarify your interests and practical requirements, discuss a clinic connection and assist with a consultation booking. We also use necessary records to manage requests, protect the service and meet applicable obligations. Operational logs record accepted submission references, enquiry type and delivery failure categories; they do not contain your form answers, name or contact details. If you do not provide required contact details and consent, we may be unable to progress an enquiry; you can still read the website.
Sharing with clinics and providers
We discuss a participating clinic with you and seek your permission before sharing your enquiry for a referral or booking. We share the information needed for that purpose. The clinic handles information under its own privacy policy and is responsible for clinical care. Ask us which clinic would receive your details before agreeing.
Service providers process information to operate the website and deliver enquiries. These include Cloudflare for hosting and security, Resend for email delivery, and our email provider. Authorised team members access enquiries to respond. We may disclose information where required or permitted by law.
These services can process information outside Australia, including in the United States and other countries where providers operate infrastructure. Contact us for current provider and location information. When providers or systems change, we will review this policy and the information we give you.
Advertising, analytics and follow-up
Responding to your enquiry is separate from subscribing you to unrelated marketing. Submitting an enquiry does not sign you up to a newsletter. You can ask us to stop contacting you about your enquiry at any time.
Where configured, optional Google Analytics and Meta advertising tools load only after you choose the relevant category in our privacy controls. They are restricted to general brand pages and are not loaded on enquiry forms, confirmation pages, implant guides or super-access guides. We do not send form answers, contact details or treatment selections to these tools. They may still process technical information and use cookies when enabled.
You can reject optional tools and still use the website. Use “Cookie preferences” in the footer to change your choice. Providers describe their own practices in Google’s privacy policy and Meta’s privacy policy.
Security and retention
We use HTTPS and server-side form checks. Email-delivered enquiries should be accessed only by authorised staff. We aim to retain information only for as long as needed to manage the enquiry, maintain necessary business records or meet legal obligations, and then securely delete or de-identify it. No online system can eliminate all risk. Contact us if you believe enquiry information has been misdirected or compromised.
Access, correction and withdrawal
Email us to request access to or correction of your information, withdraw permission for a referral, or request deletion. We may need to verify your identity, using only the information necessary for that check. We will explain any reason we cannot meet a request. Withdrawal cannot undo a disclosure already made with your permission; you may also need to contact the receiving clinic.
Privacy complaints
Send your concern to , including how you would like us to respond. We aim to acknowledge it promptly and respond within 30 days. If more time is needed, we will explain why. If you are dissatisfied, you can contact the Office of the Australian Information Commissioner.
Changes to this policy
We will update this page when our information handling changes, including when a CRM or new lead collection channel is introduced. The effective date identifies the current version. Ask us for a copy if you need the policy in another accessible format.
